Pick the audience before writing

Use the group or recipients who need the information: guests on a particular shuttle, people staying at a property, or guests who have not replied. A full-list broadcast about a private dinner can reveal an event to people who are not invited. Review the recipient count and the message preview before sending or scheduling.

Correct missing or shared contact details first. Importing a phone number does not establish permission for every channel. Guests’ opt-outs, suppression, delivery eligibility and message limits can affect who receives a broadcast. Review the current sender controls and delivery results rather than assuming that a queued message reached everyone.

Keep a text focused on one action. For a long set of instructions, send a short link to an updated website page or a clear email. Put dates and the local time zone in travel-critical messages; “tomorrow at six” is ambiguous across countries.

Plan for limits and missed messages

SMS availability depends on destination and carrier. WhatsApp has recipient, template and conversation-window rules; some messages cannot be delivered in the form you first drafted. Review what the composer offers for your recipients and do not assume SMS and WhatsApp are interchangeable. A scheduled send is not a guarantee of delivery.

For a last-minute transport change, check the delivery state and replies, then contact anyone still unconfirmed through a method you know they use. Keep a wedding-day contact who can handle this while you are occupied. Never publish a guest’s contact details on the public website.
