Wedding website room booking: hotel links and guest payments

Distinguish hotel information, reservation links and organizer-arranged rooms. Explain dates, prices, payment recipients and fees before guests book.

A list of hotels is not live room inventory, and a payment to the organizer is not automatically a direct hotel reservation in the guest’s name. Choose the arrangement you can actually support and describe it plainly. Aisle does not promise automatic access to every hotel’s availability.

Set up the rooms and responsibilities first

  • Confirm the arrangement with the property: room allocation, dates, occupancy, inclusions, release deadline and cancellation responsibilities.
  • Add the rooms and pricing you have arranged in Aisle. Keep guest-facing descriptions consistent with the property agreement.
  • Connect the organizer’s Stripe account for payments and choose whether the Aisle fee is absorbed or passed to guests.
  • Review the guest booking and payment summary, including currency, dates and the final amount.
  • Tell guests what confirms their stay and who handles a change, cancellation or refund request. Keep records of any agreement with the property.

Do not collect money for an unconfirmed arrangement. If guests are booking directly with the hotel, use the hotel’s reservation link and explain any deadline or group code instead.

What does the 5% fee mean?

The 5% Aisle fee is a platform fee on guest room payments. The organizer can cover it or add it to the guest total. Payment processing is separate; check the applicable Stripe terms and the checkout total rather than describing 5% as the complete cost of accepting a payment.

For an illustrative $1,000 payment amount, 5% is $50 before considering how the chosen fee setting affects the checkout total or any processor charges. This is fee arithmetic, not a room quote or a guaranteed total.

Wording to put beside the booking

Adapt this only after confirming your arrangement: “We have arranged [room type] at [property] for [dates]. The price covers [nights, occupancy and inclusions]. Book and pay through [booking route] by [deadline]. [Named organizer or hotel] handles changes; cancellation terms are [terms/link]. Your final payment summary shows the amount and any fee.”

Keep RSVP, room booking and payment separate

A guest can accept the wedding invitation and stay elsewhere. Another may have a room reserved but still need to reply to a welcome dinner. Review each state separately and send reminders only to people who need that step. A payment receipt does not establish attendance at every event.

Who receives guest room payments through Aisle?+

Guests pay through the organizer’s connected Stripe account. Explain that arrangement separately from the organizer’s agreement with the property.

Who pays the 5% Aisle fee?+

The organizer can absorb the platform fee or pass it to guests. Review the final checkout total and applicable processor charges separately.

Does Aisle provide live availability at every hotel?+

No such claim is made. For organizer-arranged rooms, add the accommodation you have agreed with the property. Hotel reservation links use the provider’s own availability and terms.

Does a wedding RSVP book a room?+

No. Attendance, room booking and payment are separate steps. Tell guests which actions they need to complete.

What are the cancellation and refund rules?+

State the actual property and organizer terms before payment, and identify who handles requests. Do not assume the wedding website creates a universal cancellation or refund policy.
